Executive Assistant at The Convive Collective

We are seeking an Executive Assistant to join our team in 2025.
Responsibilities:
Manage the CEO’s schedule to ensure efficient use of her time aligned with Convive’s strategic priorities and responsive to the needs of clients and colleagues.
Be the voice of Convive, managing our general inbox with professionalism, crafting thoughtful, warm communications with a personal touch that strengthens client relationships.
Drive operational excellence by onboarding new consultants, managing project documentation, troubleshooting tech issues, and keeping our website fresh and dynamic.
Provide vital support for financial administration, including streamlining contract processing, organizing receipts, and ensuring accurate tracking of project hours to keep operations running smoothly.

Looking for “three-quarter time” work, available on Monday afternoons and full days Tuesday, Wednesday, Thursday.

Experience & Qualifications:
Exceptional organizational skills, with the ability to manage multiple priorities and deadlines efficiently.
Demonstrated experience in managing schedules, communications, and operational tasks in a fast-paced environment.
Experience in a similar role supporting a CEO or senior leaders.
Excellent written and verbal communication skills, with the ability to craft thoughtful, professional, and engaging messages.
Experience managing websites, particularly using Squarespace, to update content and maintain brand alignment.
Knowledge of Google Workspace (Docs, Sheets, Calendar, etc.). Familiarity with Notion project management platform is a plus. Willingness to learn new tech solutions is a must.
Familiarity with financial administration tasks.
